How do I get an AI to join my meeting and actually send the follow-up?

A single task, answered directly.

Short answer

Invite the General to the call the way you would invite a person. It joins as a participant, keeps the recording, transcript and written recap, and turns what was committed to on the call into queued work. The follow-up email is drafted from what was actually said and waits for your approval before it sends.

Before you start

  • A calendar connected to the workspace, so the General can see the invitation.
  • A mailbox connected, if you want the follow-up to send as you from your own domain rather than sit as a draft.
  • Everyone on the call being told it is being recorded. That is your obligation, not the product's, and in several jurisdictions it is a legal one.

Steps

  1. 1Add the General to the meeting invitation. It appears in the participant list, so nobody is recorded without a visible attendee.
  2. 2Run the call normally. Nothing needs to be said to it and nothing needs to be triggered.
  3. 3After the call, three artifacts exist: the recording, the full transcript, and a written recap.
  4. 4Commitments made on the call become queued actions, each attributed to the call it came from.
  5. 5Anything that reaches a person, including the follow-up email, is held for approval. Anything internal proceeds without you.

How you know it worked

Open the meeting record and you see the recap next to the queued actions it produced, each linking back to the moment in the transcript it came from. The follow-up draft is there, editable, unsent.

What this does not do

Stated here rather than discovered later

  • It does not recover a recording the meeting platform never produced. If a call was not captured, it says so rather than summarising from nothing.
  • It does not send the follow-up silently. Approval is the default, and turning that off is a deliberate decision you make.
  • It is not a notetaker that stops at notes. The distinction that matters is whether the commitments become work, and a summary that produces no queued action has not done this job.
